Poole based Accountants & Tax Advisors Inspire Professional Services has recently introduced new office procedures, with the help of Ringwood-based photocopier supplier Canotec, to cut down on around 2,000 pieces of A4 paper each month.
The introduction of the Invu scanning program using the latest technology to scan and file documents within an electronic filing cabinet instead of an actual one.

MD of Inspire, Warren Munson, said: "As Inspire has grown so has the volume of paper we have had to store and recently we realised that the paper mountain had become too much to deal with. Canotec, our trusted supplier, came up trumps with the suggestion of the Invu program and were instrumental in getting it rolled out across our office and we're delighted that we are now on track to save around 2,000 sheets of A4 paper a month. The efficiency and environmental savings of this program are fantastic and although there are some documents which obviously we do need to keep as a hard copy we are delighted with how easy Invu has made the filing of other documents."
Ian Smith, a director at Canotec, which has 30 staff and 700 clients across the south, said: "Paper usage is apparently increasing some 20 per cent a year at UK businesses, mainly due to compliance, data protection and audit trial requirements. What many of them fail to do is utilise green IT, such as Invu, which saves space, money and trees. It's a sobering thought that a company with 100 office-based staff will use 112 trees every year in paper, based on each tree making 8,333 sheets. Inspire has taken a welcome stance, saving the equivalent of nearly three trees a year in paper."
